Terms and Conditions for Exhibitors – Bolt Events 

1. Booking & Payment 

  • Bookings are only confirmed once a completed booking form is submitted and the deposit has been received. 

  • If no deposit is received, the booking is not confirmed. 

  • Deposits are non-refundable and non-transferable, unless the event is cancelled by the organiser. “Non-transferable” means deposits cannot be applied to another event or exhibitor. 

  • The balance is due on the day of the event (unless paid prior). 

  • If paying by BACs in advance, funds must clear at least 5 days before the event. 

  • On the day, balances can be paid by cash or card only. BACs or delayed payments will not be accepted on the day. 

 

2. Cancellations & Refunds 

  • 4+ weeks before event: Loss of deposit (no refund or transfer). 

  • 3 weeks before event: Exhibitor is liable for 50% of full booking amount. 

  • 2 weeks before event or no-show: Exhibitor is liable for 100% of the booking amount. 

  • No-shows: Full payment is required. Future bookings must be paid in full in advance. 

 

3. Set-Up & Pack-Down 

  • Set-up times will be confirmed the Monday prior to the event. Contact Zoe if you have not received this by Tuesday morning. 

  • Fire exits are for emergencies only, unless specified otherwise by the organiser. 

  • Do not use organiser-exclusive or table-hire company doors unless permitted. 

  • No early pack-downs or leaving before the end time. 

  • Quiet packing behind your stand is allowed, but no items in aisles, no trolleys, and no goods removed before 4 PM. 

  • Breaches will result in cancellation of all future bookings without refund. 

  • Traders must clean their space and remove all rubbish. 

  • Charges from venues for rubbish left behind will be passed on to the exhibitor. 

 

4. Stall Requirements 

  • Booked space is 6ft x 6ft per main table. 

  • Tables are approx. 6ft wide and 2ft 4in deep. 

  • Booking a backing table leaves no room for racks/shelves – only standing space. 

  • For more room, book an additional main table. 

  • If you need space without tables, specify this at time of booking. 

  • Any special requests (e.g. end of row, wall, power) must be made during booking. 

  • Requests are not guaranteed and no refunds will be issued if requests are not fulfilled. 

  • Table locations are allocated on a first-come, first-served basis.

  • We do not permit the sale of mystery bags/boxes/packets except for one single approved trader.  

  • What is constituted as a mystery bag/box/bundle? Anything that has been put together by an exhibitor as an unofficial blind purchase, for example pokemon packs, mystery pop boxes etc, anything that the customer is not able to check the contents of prior to purchase, with the only exception being factory sealed official products. Please contact us with any questions.

 

5. Conduct & Behaviour 

  • Traders must act in a professional and respectful manner at all times. 

  • Negative or defamatory comments about the event, organisers, or fellow traders are not tolerated. 

  • Disruptive behaviour will result in immediate removal, cancellation of future bookings, and no refund. 

 

6. Liability & Insurance 

  • Public liability insurance is the responsibility of each trader. 

  • Organisers are not liable for any loss, theft, or damage to goods or personal items. 

  • All electrical equipment must be PAT tested. 

  • Certificates must be submitted at least 4 weeks before the event. 

 

7. Food Traders 

  • Must provide all relevant hygiene and allergy documentation. 

  • Not all venues allow food/drink sales — you must inform us at the time of booking. 

  • If you attempt to sell food/drink at a non-approved venue, you will be asked to remove those items immediately. 

 

8. Marketing & Promotion 

  • Traders are encouraged to promote their attendance via social media and other channels. 

 

9. Force Majeure 

  • In case of unforeseen circumstances (e.g. extreme weather, venue closure, etc.), organisers are not liable for any associated losses (travel, accommodation, staff costs, loss of income). 

  • Traders are advised to have suitable insurance to cover such events.
